In this article, you’ll learn the essential steps to follow when handing over your motorhome to a Traveller. This includes checking documents, conducting a vehicle walkthrough, taking photos, and ensuring they understand how everything works.
1. Give a Warm Welcome
Start by greeting your Traveller warmly. They’re about to embark on their holiday adventure, and your friendly approach will make them feel at ease. A positive handover experience encourages responsible use of your motorhome.
2. Check the Booking Details, Drivers, and Licenses
- Review the booking details together and ensure everything is correct.
- Confirm that any additional drivers are listed on the GoForm.
- Check the Traveller’s driver’s license and verify that they meet the hire requirements.
3. Walk Through the Motorhome
Exterior Check
- Walk around the motorhome together and take clear photos of the front, sides, rear, tires, and windshield.
- If there are existing scratches or dents, don’t worry—just make sure to document them.
Interior Check
- Inspect the inside of the motorhome and take photos of key areas, including the sleeping area, kitchen, seating area, and bathroom.
- Check the cleanliness inside and outside, and note this on the GoForm.
- Review the provided amenities and confirm that everything is working properly.
4. Familiarise the Traveller with Key Features
Go over the following essential functions to ensure the Traveller knows how to use your motorhome correctly:
- Water system: Filling and emptying water tanks
- Fuel: Where to refuel
- Awning: How to extend and retract it safely
- Vehicle height: Important for low bridges and parking structures
- Gas bottle: How to change it

5. Conduct a Final Vehicle Check
- Let the Traveller sit in the driver’s seat and start the engine.
- While the engine is running, check the odometer, fuel level, and any warning lights.
- Note these details on the GoForm.
6. Sign the GoForm
Once all details are checked and agreed upon, both you and the Traveller should sign the GoForm to confirm the condition of the vehicle at pick-up.
7. Review House Rules & Discuss Return Expectations
- Go through any important house rules to ensure mutual understanding.
- Set clear expectations for the return process, including fuel levels, cleanliness, and check-in time.
8. Wish Them a Great Trip!
Your motorhome is heading off on a new adventure with excited travellers. Send them off with a warm farewell and wish them a wonderful journey.
By following these steps, you create a smooth handover experience while protecting your motorhome and ensuring the Traveller has a stress-free trip.
